Project Overview

Spenio is a Moser Labs app designed to replace an expensive, overly complex expense-reporting system with a streamlined, user-centered alternative. Built to simplify how employees track, submit, and approve expenses, Spenio focuses on ease of use, mobile accessibility, and ongoing agility, delivering exactly what users need without unnecessary features or cost.

Step 1: Recognizing the Problem

The Moser Consulting team recognized that their existing expense platform was cumbersome, overpriced, and packed with features that didn’t serve most users. Employees found it frustrating to navigate and administrators struggled with configuration and support.

To address these challenges, the team set out to design a tool that was lightweight, efficient, and intuitive. Spenio focused on the real workflows employees perform every day.

Step 3: Building the Experience

The resulting product, Spenio, is a clean, mobile-friendly expense-reporting app that simplifies submission, approval, and tracking. It supports mileage calculation, per-diem rates, and seamless integration with accounting tools like QuickBooks.

Through iterative design and close collaboration with beta clients, the team ensured every feature was both technically feasible and genuinely valuable to end users.

Spenio now serves as a modern alternative to bloated enterprise expense systems—balancing capability with simplicity. It reflects Moser Labs’ broader mission to create human-centered tools that enhance daily operations without unnecessary complexity.

Step 2: Designing with Focus

Working in agile sprints, the UX and development teams collaborated to build a product grounded in user feedback and real-world testing. They prioritized only high-value features that simplified expense management and removed unnecessary complexity.

From the beginning, the team also defined what Spenio wouldn’t be:

  • Not a full-service travel system—no flight booking or hotel scheduling

  • Not an over-engineered platform with hundreds of unused options

  • Not a “launch-and-leave” product—continuous improvement and support are built in

  • Not an out-of-the-box-only solution—implementation and integrations are handled collaboratively with each client

This clarity kept the product lean, functional, and focused entirely on improving the employee experience.

Outcome

The launch of Spenio has provided employees and clients with a faster, easier way to manage expenses—reducing administrative overhead while improving accuracy and transparency. Feedback from early adopters highlights its intuitive design, quick adoption, and reduced training needs.
By replacing a costly third-party system with a homegrown, user-driven solution, Moser Labs demonstrated how thoughtful UX and agile development can transform internal challenges into scalable, client-ready products.
